Visio is Microsoft's dedicated diagramming application, sold separately from the Office suites. The 2019 generation appeared in late 2018 in two desktop editions, Standard and Professional, and this is the higher of the two. It contains everything in Standard and adds the tools that turn a drawing into a technical document connected to real data.

The software is built to make structures visible, from business processes and network layouts to database schemas, software architecture and floor plans. In the Professional edition, shapes can carry information. A server shape can hold its hostname and status, a process step its owner and duration, and the diagram can display those values graphically. For teams that document systems rather than sketch ideas, this is usually the deciding feature.

How it is used in everyday work

Most work starts from a template. An IT administrator opens a network or rack template, places and connects device shapes, then links the drawing to an Excel inventory so each shape shows its current details. A business analyst builds a swimlane flowchart or a BPMN diagram for a process management project and runs a validation check before sending it for review.

Development teams use the UML templates for component and deployment diagrams in architecture reviews, while database designers model tables and relationships for schema discussions. Facility planners bring in AutoCAD floor plans and draw office layouts on top of them. Finished diagrams usually go to SharePoint or OneDrive for Business, into PDF exports, or into Word and PowerPoint documents where colleagues without Visio can read them.

The functions that make a practical difference

Data linking is the main reason buyers choose this edition. Shapes connect to sources such as Excel workbooks, SQL Server databases and SharePoint lists, and data graphics present the linked values as text, icons, colour or data bars. A refresh pulls in changes from the source, so the diagram stays current without manual editing. The 2019 release added a built-in Database Model Diagram template that needs no separate add-in, plus new UML templates for component, communication and deployment diagrams.

AutoCAD import was also extended. Older Visio releases read DWG and DXF files only up to the AutoCAD 2007 format, whereas this version handles newer drawings, which matters for anyone receiving plans from architects or engineers. Website wireframe templates support early interface design, and starter diagrams for organisation charts, brainstorming and SDL (Specification and Description Language) give new users a working example to adapt.

Choosing the right edition

Visio Standard 2019 covers general diagramming, including basic flowcharts, organisation charts, simple network diagrams and office layouts, together with commenting and sharing. It suits users who draw diagrams by hand and never need them linked to data. The Professional edition adds data linking and data graphics, the extended UML, database, engineering, detailed network and BPMN templates, and validation of process diagrams. Anyone who needs functions introduced after 2019, such as Data Visualizer or export to Power Automate, should look at the Visio Plan 2 subscription. Visio 2021 and Visio 2024 are the newer desktop releases.

Practical limits worth knowing before you buy

Microsoft ended support for Visio 2019 on October 14, 2025. Installed copies keep working, but the software no longer receives security updates, bug fixes or new features, so organisations with strict patching rules should confirm that an unsupported version is acceptable. Subscription-only additions such as Visio Visuals for Power BI and Export to Word are not included. If you plan to connect a custom business application, check first whether its data can be exported to Excel, SQL Server or a SharePoint list.

Is Visio part of Office 2019 Professional Plus?
No. Visio is a separate application and is not included in any Office 2019 suite. It works alongside Word, Excel and PowerPoint, for example when a diagram is embedded in a report or linked to a spreadsheet.

Can it open files from older or newer Visio versions?
Yes. It opens diagrams from Visio 2000 onwards, including the older VSD format. Since Visio 2013 the standard format has been VSDX, which later versions and the subscription edition also use, so diagrams can be exchanged in both directions.

Do I need Microsoft 365 to link diagrams to data?
No. Data linking and data graphics are part of this edition itself. Only Data Visualizer, which generates complete diagrams from structured Excel tables, is reserved for the Visio Plan 2 subscription.
